Here is a presentation to guide you in setting up an IMAP and POP3 account in MS Outlook 2010. In this tutorial we used a Gmail email address however, you can refer to this tutorial to setup just about any email address provided that the corresponding mail server supports IMAP or POP3. Other web mail provider may require you to install connector software such as Hotmail.

Gmail has POP3, IMAP and SMTP functionality. This means that you can use an email client such as MS Outlook to send and receive your emails. So instead of logging in to gmail everytime you want to check your email, you can actually download your emails to your computer and check it from your mail client. These emails will also be avaible to you while offline.
IMAP or Internet Messaging Access Protocol and POP3 or Post Office Protocol 3 are used to fetch your emails from your mail servers. They are incharged of your incoming mails while SMTP or Simple Mail Transfer Protocol is with the outgoing. You only need to use one incoming protocol. Some mail servers use only IMAP, some only POP3 and others use both such as Gmail.
In Gmail, POP3 is enabled while IMAP is disabled by default. You may want to use IMAP for security considerations. That is, IMAP only retrieves mails from your server but not delete them while POP3 has the ability to remove the copy of your emails from your server. Gmail has these options clear in the settings page. You can opt to let POP leave a copy of your mails or you can allow it to remove them completely after being fetched.
Setting Up an Account
To setup a gmail account in MS Outlook 2010 follow the following steps:
1. Open your MS Outlook. If this is the first time you run it, the "Add New Account" dialogue box will prompt right away. If not, click on File then click on Add Account
2.The Add New Account box will prompt. Fill out the required information: Your name, email address, and password then hit next.

With auto account setup Ms Outlook will automatically detect the server settings and set itself up accordingly. If both IMAP and POP3 are enabled in your Gmail account, it will setup the IMAP. It will only create an account using POP3 if this protocol is the only one enabled.

ReplyDeleteWhat if you are setting up the same email address on two different computers? Outlook set them both up as IMAP and when I start outlook on my laptop and the emails load, the emails disappear from my outlook on my desktop.
